(Q1) Is it possible to use Box immediately after getting keioID?

It is possible to use Box from the next morning after getting keio.ID(Activation). Please take care that it is not possible to use Box immediately after activation.

(Q2) How should I properly use my personal Box account?

The following are methods of using a personal Box account.

  1. Log out in the case where you log in to Box with Keio ID.

    Refer here for the methods of logging out.

  2. On the following screen, select [Not a part of Keio University].

  3. The login screen for a personal Box account is displayed.

(Q3) Till which generation can I perform version control?

With Box, when a file is renewed, version up occurs automatically. (An indication such as v1, v2, or v3 etc. is displayed beside the file.)

The indication of the version itself increases without limit, but the scope where return is possible is up to 100 generations.
In the case of a v500 file for example, it is possible to return to v400.

【Caution】
In some files, you can not access older versions than 11 generations
(Example: If the latest file is v13, you can access v13 to v3, but you can not access versions older than v2)

(Q4) Can I use Box Sync or Box Drive?

You cannot use Box Sync and Box Drive.

(Why?)
Box Sync/Box Dirve is the ability to synchronize the files and folders on the Box to the local, you can also set the synchronization of the shared folder.
However, there is a fear that you change or delete the files that are shared with others unintentionally in the operation of the local.
For this reason, we have disabled the Box Sync and Box Drive.

(Q5) How should I properly use Box and Google Drive?

You can use both services, depending on your purpose and preference. Box service started to be provded, but you can use the Google Drive as before.
There are many parts that are similar in the both services, but in both of the service, there is a distinctive feature. Please use the service, which was more suitable according to the scene.
The following is an example how the proper use.

(Example 1) The case you want to streaming video.: Box is recommended.
A video distribution function is the one of the major features in the Box without Google Drive. Please upload video files to Box.
(Example 2) The case other people want to view your file on the browser.: Box is recommended.
Rich preview function is provided in Box, and it is compatible with more than 100 file formats.
(Example 3) The case we want to edit a cell in the spreadsheet at the same time with more than one person.: Google Drive is recommended.
Please use the spreadsheet of Google Drive. Box has a similar function as the Google document called a Box Note, but this does not correspond to the spreadsheet.
(Example 4) The case you want to back up large files.: Box/Drive, both services are useful.
Because the capacity of Box and Google Drive is unlimited, you can use both services depending on your preference.

(Q6) I can not upload a folder on Box using Internet Explorer.

If Enhanced Mitigation Experience Toolkit (EMET) is installed to your PC, there is a possibility that the execution of the Java plug-in is blocked and fail to upload the folder.

Open the configuration screen of EMET with administrator privileges and uncheck the "ASR" of "iexplore.exe" to restart the browser, or please use a different browser (Google Chrome and Firefox).

(Q7) I can not upload a folder on Box using Safari with Mac OS.

In the screen to select the folder you want to upload, you may not see any folders and files.
If you want to upload a folder to Box, please use the other browser (Google Chrome and Firefox).

(Q8) I have already gone to register a free Box account with the keio mail.

If you contact help@keio.jp, it is possible to carry out the takeover your Box account to the one Keio University provides.
Data that exists in your personal Box account will be taken over as it is.

(Q9) Box use after graduation.

After the graduation or retirement Box will no longer be available.

Please take a backup on yourself to your USB memory or online storage as necessary until then.
(Caution: Google Drive provided by Keio will also no longer be available.)

In addition, it is possible to get a free Box account, in that case, note the following points.

  • When you get a free Box account, keio mail is not available. Please use the e-mail address of the person.
  • Box provided by Keio is unlimited capacity, but free Box account has a capacity limit (10GB, as of June 2016)

(Q10) Which external applications can I use to cooperate with Box?

For security protection, cooperation with external applications is not permitted in principle. However, several applied applications are authorized by ITC as below (updated in Aug. 2016).

  • iAnnotate PDF for Android
  • PDF Expert for iPad
  • GoodNotes
  • GoodReader
  • Slack

You can find the latest information about the cooperative applications by the following instruction.

  1. Login to Box.
  2. Select your name indicated at the upper right of the page, and select 「アプリ」 from the pop-up menu.
  3. Select 「最新情報をすべて表示」 at the bottom of the page.

Please send an email to help@keio.jp if you want to apply for another applications to cooperate with Box.

(Q11) Inviting @adst.keio.ac.jp address to collaborator does not work.

@adst.keio.ac.jp can not be specified as a collaborator.

When inviting a collaborator in keio it is necessary to send an invitation to Keio ID (@keio.jp).

(Q12) Is API (Application Programming Interface) available?

Yes, you can.
However, please be aware that the usage and details of API will not be supported by ITC.

(Q13) You want to allow people who do not have a Box account to upload files

(Q14) I use the Box application on a mobile terminal, but I lost my terminal.

If you are already logged in to the Box application, the terminal can still access from the Box application even if you change the keio.jp password. Please make settings so that it cannot be accessed from the Box application.

  1. Log in to Box. Select account settings from the account icon on the right.

  2. After selecting the Security tab, click the [X] in the mobile device name such as "Box for iPhone" in the list of applications.

  3. "Forget Application" windows is opened, click on [Okay] buttom.

(Q15) Message "This application cannot be used because it is not allowed by your Box adminstrator." is displayed.

This message display when you try to use external applications in Box. Actual message is "This application cnnot be userd because it is not allowed by your Box adminstrator. If you have any questions, please contact your administrator at...(The "@" mark is written instead of "at" word at some cases.)".

Keio university allow to use external applications that are explained at "(Q10) Which external applications can I use to cooperate with Box?", but don't allow the others.

This message display when using Box Sync and Box Drive in particularly, those are explained at "(Q4) Can I use Box Sync or Box Drive?".

(Q16) Invalid Login Credentials Error on Login.

After activation of Keio ID, Box account will be active at that night. If Box login is "Credentials Error" next day, contact us.

(Q17) Specification of supported browsers and OS for Box.

For specification of supported browsers and OS for Box, refer to "Understand the Box Policy For Browser And OS Support".

(Q18) Maximum File Size for uploading in Box.

The maximum file size for uploading in Box is 50MB. For more information, refer to "Understand the Maximum File Size You Can Upload to Box".

(Q19) How long does files and folders in the trash save?

In generally, Box of the default retention period is 30 days for files and folders in the Trash, but Keio university of Box is indefinite period. However, please note that the specifications of Box are subject to change.

(Q20) Setup the other languages.

For setup the other languages, refer to "Language and Time Zones".

(Q21) Reset of browsers in trouble.

Occasionally clearing your browser's cache and cookies may help to eliminate common problems. For resetting browser’s cache and cookies, refer to "How Do I Clear The Cache And Cookies In My Browser?" or ""How To Clear the Browser's Cache and Other Records"".

(Q22) Disable of browsers of plugins, add-on and extensions in the trouble.

If you are encountering speed, upload, download, or various interface problem with Box it could be caused by a plugin, add-on, or extension that you have installed in your browser. To disable browser of plugins, add-on and extensions, refer to "How To Disable Plugins/Add-Ons/Extensions In Multiple Browsers".

When inviting a person as a collaborator within a folder, or sending a shared link, you have the ability to set the level of access that person has to your content. For permission levels and each collaborators, refer to "Understanding Collaborator Permission Levels".
